ServiceM8 how-to

How do you see the total value of open quotes in ServiceM8?

ServiceM8 has no single screen that totals the dollar value of open quotes, a gap ServiceM8 Community users have raised directly. The closest native view is the Jobs list filtered to Quote status. An Advanced Reporting Pack Custom Report, filtered the same way, keeps a live total on screen instead.

Not natively

No single screen shows it. Filter the Jobs list to Quote status for the closest native view, export to a spreadsheet for a one-off total, or build a Custom Report in the Advanced Reporting Pack, filtered the same way, for a total that stays live.

Step by step

  1. Closest native view: in the Online Dashboard, open the Jobs (History) list page, click Filters, set Job Status to Quote, and click Apply filters. This lists every quoted job with its value in a column, but ServiceM8 does not total the column.
  2. Export and spreadsheet: turn on the Advanced Reporting Pack add-on from Settings, ServiceM8 Add-ons, then go to Reports and run the Job List report, which downloads a CSV of your job history.
  3. Open the CSV, filter or sort by Job Status for Quote, then sum the invoice or quote total column with a spreadsheet formula.
  4. Live Custom Report: still inside the Advanced Reporting Pack, go to Reports, click Create Report, set the metric to a total price field, add a filter for Job Status equal to Quote, and choose a table or graph view.
  5. Save the report from the top right corner so the figure is one click away next time, and it recalculates as job statuses change rather than being a fixed export.
  6. Faster route to the same report: use the Smart Reporting Helper under Create Report and describe it in plain language, for example 'total value of jobs currently at Quote status', then let ServiceM8 fill in the metric and filter.

Gotchas

  • The Jobs list page shows a total column per job but no running total at the bottom, which is exactly the gap ServiceM8 Community users have raised directly.
  • The Invoicing tab's Summary page totals outstanding amounts by job status, but that tab only covers jobs that have reached invoicing. A job still at Quote status has not been invoiced yet, so it will not appear there.
  • CSV exports from the Advanced Reporting Pack are text only. They do not include PDFs, photos or videos, so treat the export as a number source, not a backup of the quotes themselves.
  • Custom Reports and the Job List and Client List exports both need the Advanced Reporting Pack add-on turned on first, and the Reports tab itself is only visible to the Business Owner security role by default.
  • A Custom Report built once keeps recalculating as jobs move in and out of Quote status. A CSV export is a snapshot: rerun it if you want the current figure later, not the number from whenever you last exported it.

What the official help article misses: It answers the outstanding-invoice version of this question but not the open-quotes version, does not mention the Advanced Reporting Pack's Custom Reports as the way to get a live total, and does not mention the Smart Reporting Helper shortcut. Read ServiceM8's article.

Why there is no single figure

ServiceM8's own guidance for getting a total figure of money owed points to Invoicing, Summary, and the Items by Status table, which totals Completed jobs that are Awaiting Payment. That covers jobs that have already been invoiced. A job still sitting at Quote status has not reached invoicing yet, so it never appears on that page, and there is no equivalent Summary table for quotes.

The Jobs (History) list page will show you every job at Quote status, with each one's value in its own row, once you filter by Job Status. What it will not do is add that column up for you. That is the exact complaint behind ServiceM8 Community's strongest thread on this: a basic business metric with no button to press for it.

The export and spreadsheet route

Turning on the Advanced Reporting Pack add-on unlocks a Job List CSV export of your job history from the Reports tab. Export it, filter or sort the Job Status column for Quote, and sum the total column in a spreadsheet formula. It is quick, but it is a snapshot: rerun it whenever you want the current figure, and remember the CSV is text only, with no PDFs, photos or videos attached.

The Custom Report that stays live

The same add-on's Custom Reports feature builds an on-screen figure that recalculates as jobs move in and out of Quote status, instead of a point-in-time export. Set the metric to a price field, add a filter for Job Status equal to Quote, choose a table or a single number view, and save it so the figure is one click away from then on.

ServiceM8 also offers a Smart Reporting Helper inside Create Report: describe what you want in plain language, for example "total value of jobs currently at Quote status", and it fills in the metric and filter for you rather than you building it by hand.
