Cliniko and Physitrack: sending home exercise programs
Physitrack connects to Cliniko by API key and copies the patient's details across when a practitioner opens them in Physitrack. Once a program is assigned, Physitrack sends a PDF copy back into the patient's Cliniko Files section, but adherence tracking and outcome measure results stay in Physitrack and are not pushed back automatically. Physitrack costs from AU$30.99 per practitioner a month in Australia.

What syncs, and when
| What | Direction | When | Notes |
|---|---|---|---|
| Patient details | Cliniko to Physitrack | Practitioner clicks Open in Physitrack on a Cliniko patient, while logged into Physitrack | Physitrack's own integration guide describes this as copying the client from Cliniko to Physitrack, so the practitioner does not retype patient details. |
| Assigned exercise program | Physitrack to Cliniko | Program assigned to the patient in Physitrack | A PDF copy of the assigned program is sent back and stored in the patient's Files section in Cliniko. Physitrack's guide notes this PDF copy back only works for normal Cliniko account types, not Scheduler accounts. |
| Adherence and pain score data | Not synced to Cliniko | n/a | Physitrack's own integration guide does not describe adherence tracking or clinical outcome measure results being sent back to Cliniko; that data stays inside Physitrack's own reporting. |
| Sign in | Not shared between systems | n/a | Physitrack's guide is explicit that the integration does not sign the practitioner in to Physitrack; a separate Physitrack login is still needed. |
What does not sync
- Adherence tracking and pain score or RPE data recorded by the patient in Physitrack. Physitrack's integration guide covers the patient copy and the program PDF only.
- Outcome measure results collected through Physitrack. These are a Physitrack feature, not part of what the Cliniko integration guide describes moving back to Cliniko.
- Anything for Scheduler type Cliniko accounts. Physitrack's guide says the PDF copy back to Cliniko only works for normal Cliniko accounts.
Set it up
- In Cliniko, go to My info, Manage API keys, and add a new API key named something identifiable like Physitrack.
- In Physitrack, go to My account, Settings, Cliniko, and paste in that API key, then save.
- Back in Cliniko, go to Settings, Our clinic, Integrations, Connected patient apps, and enter Physitrack along with the region specific app URL Physitrack's guide provides.
- Log into Physitrack separately before using it; the integration does not sign practitioners in automatically.
- Open a patient in Cliniko and click Open in Physitrack to copy them across for the first time, then assign a program from Physitrack's library or your own uploaded exercises.
What actually crosses between the two systems
The integration is narrower than it sounds. Physitrack's own guide describes exactly two things moving: the patient's details copy from Cliniko to Physitrack when a practitioner opens them, and once a program is assigned, a PDF of that program copies back into the patient's Files section in Cliniko. That PDF is useful for a paper trail in Cliniko's own record, but it is a static copy, not a live link back to whatever the patient does with the program afterwards.
Practitioners used to Physitrack's own dashboard, where adherence and pain scores update as the patient uses the program, should not expect any of that to appear inside Cliniko. Physitrack's integration guide does not describe that data being sent back, so checking on a patient's exercise adherence still means logging into Physitrack directly.
The login step people miss
Physitrack's guide is specific that the Cliniko connection does not log a practitioner into Physitrack. The API key links the two accounts so patient data can move, but each practitioner still needs their own Physitrack login before Open in Physitrack will do anything useful. Clinics that skip explaining this to new staff tend to get a support ticket the first time someone tries the button without having signed in first.
There is also an account type limit worth knowing before setup: Physitrack's guide says the PDF copy back to Cliniko only works for normal Cliniko accounts, not Scheduler accounts, so a practice running Cliniko on a Scheduler plan will not get the program PDF filed automatically.
What it costs on top of Cliniko
Physitrack charges separately from Cliniko, per practitioner rather than per clinic. Physitrack's own pricing page lists Australian pricing at AU$30.99 a month per practitioner, with a discount for annual billing and further volume discounts available above 100 practitioners through Physitrack's sales team. That is on top of whatever Cliniko subscription the clinic already pays.
