What a Queensland pest management record must show

In Queensland, a pest management technician must record each activity, including the date, address, customer details and the pesticide or fumigant used, no later than 24 hours after the job, under the Medicines and Poisons (Pest Management Activities) Regulation 2021. Records are kept 5 years, and a Queensland Health licence is required to use a pesticide or fumigant commercially.

Homeowner? If you have had pest treatment done at your property, you can ask the technician or their business for a copy of the treatment record, which by law has to name the chemical used, its strength and the treated area, made within 24 hours of the job.

What the certificate must show

Produce it from a ServiceM8 job

  1. In Settings > Forms > Add Form, create a form called Pest treatment record QLD.
  2. Add Text questions for Chemical name, Active constituents, Strength/amount and, for timber pest jobs, Application rate.
  3. Add a Date question for Activity date and a Text question for Licence number.
  4. For trainee technicians, add a Text question for Supervisor name.
  5. Attach the form to a Pest treatment job badge and require it before checkout, so the record exists inside the 24 hour window automatically.
  6. Retain completed forms in ServiceM8's job history for at least 5 years, and export a copy to the business operator's records if the technician works under one.

The 24 hour rule, and what has to be on the record

Section 46 of the Medicines and Poisons (Pest Management Activities) Regulation 2021 requires a qualified person to document each pest management activity as soon as practicable, and no later than 24 hours after doing it. The record has to carry the date of the activity, the address and a description of the place the work was carried out, the customer's contact details if the activity was requested by a customer, the technician's pest management licence number where one applies, and the fumigant or pesticide used, including its name, active constituents, strength, amount and, for timber pest work, the application rate. If the technician works for an operator, the operator has to receive a copy; otherwise the technician keeps it themselves.

Trainees carry an extra layer of record keeping

Section 51 adds a further requirement for pest management trainees, who must additionally record the activity date and description, their supervisor's name, and the business operator's contact details where one applies, then pass that record to their business operator. This exists because a trainee is not yet the licensed person accountable for the treatment, so the record has to make clear who was actually supervising the work.

Five years, and the AS 3660 shortcut

Section 62 sets the retention period at 5 years after the day a record is made. Queensland's regulation was written so its record keeping requirements do not duplicate what is already captured under the AS 3660 series of Australian Standards for termite management: a technician can use a certificate of installation or certificate of termite treatment prepared under AS 3660 as the pest management record, provided that certificate covers everything the Regulation itself requires. A pest management activity using a pesticide or fumigant can only be carried out by someone holding a current pest management licence issued under the Medicines and Poisons Act 2019.
