Integration

ServiceM8 and HubSpot: Zapier, Make or a direct API build?

ServiceM8 has no native HubSpot integration: neither its add-ons directory nor its help centre lists one. You connect them through Zapier (free for 100 tasks a month), Make (free for 1,000 credits a month) or a direct build on both APIs. Zapier's ServiceM8 app can create jobs and clients and fires instantly on new jobs, clients, completed jobs and forms.

What syncs, and when

WhatDirectionWhenNotes
New HubSpot deal or contact to a ServiceM8 job or clientHubSpot to ServiceM8Zapier: HubSpot trigger polls every 15 minutes on the Free plan. Make: on its schedule. API build: HubSpot webhook or schedule.Zapier's ServiceM8 actions are Create Job and Create Client only. Make adds update, get, delete and search for clients, jobs and job contacts.
New ServiceM8 client to a HubSpot contactServiceM8 to HubSpotZapier: New Client (instant). Make: New Client trigger.Match on email first, or you will create duplicate contacts in HubSpot.
Job completed to a deal stageServiceM8 to HubSpotZapier: Job Completed (instant, can filter by job category). API build: job.completed webhook event.Make's ServiceM8 triggers are New Client, New Job and New Job Contact, so a completion trigger means polling jobs.
Quote accepted, invoice paid, review receivedServiceM8 to HubSpotAPI build only: job.quote_accepted, job.invoice_paid, job.review_received eventsNot available as Zapier or Make triggers today. Needs a ServiceM8 public app with OAuth, which you can keep unlisted.
Form responsesServiceM8 to HubSpotZapier: New Form Response (Forms add-on required). API build: form.response_created.Useful for site survey answers that sales wants on the contact record.

What does not sync

  • Anything, natively. There is no ServiceM8 add-on for HubSpot, so every option is a connector you build and maintain.
  • Updates to existing ServiceM8 jobs through Zapier. Its ServiceM8 actions only create jobs and clients.
  • Quote accepted and invoice paid events through Zapier or Make. Only the ServiceM8 API exposes them.
  • Invoice amounts and payments as HubSpot revenue, unless you build it. ServiceM8 sends invoices to your accounting software, not to HubSpot.
  • HubSpot email and meeting history into the ServiceM8 job diary.

Set it up

  1. Write down the two or three moments that matter (for example: deal won creates a job; job completed moves the deal; invoice paid closes it) before picking a tool.
  2. Pick the unique key. Email address is the usual match between a HubSpot contact and a ServiceM8 client.
  3. Zapier: connect ServiceM8 and HubSpot, build one Zap per moment, and add a filter so test jobs and warranty jobs do not flow through.
  4. Make: add the ServiceM8 and HubSpot modules, use a search step before any create step to avoid duplicates, and set the schedule.
  5. API build: create a HubSpot private app with only the scopes you need, register a ServiceM8 public app (it can stay unlisted), subscribe to the ServiceM8 events you chose, and log every call.
  6. Run ten real jobs through before you rely on it, and check HubSpot for duplicates weekly for the first month.

Why there is no single answer

HubSpot is a sales tool and ServiceM8 is an operations tool, so the useful link is narrow: a won deal should become a job without retyping, and the job's outcome should update the deal. Neither vendor ships that link. ServiceM8's add-on directory lists Zapier but no HubSpot add-on, and ServiceM8's help centre has no HubSpot article, so you are choosing a connector.

The choice mostly comes down to which ServiceM8 events you need. Zapier's ServiceM8 app has five instant triggers (Job Completed, Job Queued, New Client, New Form Response, New Job) and two actions (Create Job, Create Client). Make's ServiceM8 app, maintained by Make, has three triggers (New Client, New Job, New Job Contact) but more actions, including update and search. The ServiceM8 API adds events neither connector offers, such as quote accepted and invoice paid.

Cost, honestly

Zapier's Free plan covers 100 tasks a month with two step Zaps, and paid plans start at $19.99 a month as displayed on its pricing page. Make's Free plan gives 1,000 credits a month, and its entry paid plan is listed from $9 a month for 5,000 credits. Our estimate: a business creating 30 jobs a month from HubSpot deals can often run one two step Zap inside the free tier, but adding deal updates on completion and a duplicate check pushes most past it.

A direct build has no per task fee but costs development time and upkeep. It is worth it when volume is high, when you need the quote accepted or invoice paid events, or when you want duplicate handling that a no code tool makes clumsy. HubSpot private apps on Free and Starter accounts can make 100 calls per 10 seconds and 250,000 a day, which is far more than a trade business needs.

The duplicate problem

Most broken HubSpot and ServiceM8 links fail the same way: every run creates a new contact or client instead of finding the existing one. Search before you create, match on email, and decide which system wins when a phone number or address differs. In ServiceM8, deleting a record through the API only marks it inactive, so cleaning up duplicates afterwards is slower than preventing them.
