Migration

Moving from AroFlo to ServiceM8

AroFlo exports customers, jobs and invoices as CSV-based reports, and ServiceM8 imports clients, materials and job history from CSV, per both vendors' own help pages. AroFlo's help centre requires a customer login and does not publish a self-serve bulk export for job photos, videos, files and forms, so request those from AroFlo support before you cancel.

Moves cleanly

  • Customers, when you connect the same Xero organisation to ServiceM8 so contacts import automatically
  • Price list and catalogue items, retyped or pasted from an AroFlo price list report into ServiceM8's Materials & Services CSV template
  • Standard AroFlo reports (Job Activity, Asset Management, Tracking Centres, Profit & Loss) as reference documents, even though AroFlo does not publish their export format

Moves with work

  • Customers, as a manual CSV built from an AroFlo customer or Tracking Centre report if you are not connecting Xero
  • Job history, as text records through ServiceM8's job history import once you have built a CSV of past jobs, dates and addresses
  • Asset and equipment registers, one asset type and one client per ServiceM8 CSV import
  • Recurring work and maintenance schedules, rebuilt by hand from whatever AroFlo screen lists them, since no export format for these is publicly documented

Does not move

  • Job photos, videos, documents and compliance forms stored on the job (request a full export or archive from AroFlo support before cancelling)
  • AroFlo's own form templates (rebuild your most used ones as ServiceM8 Forms from a Word template)
  • The detail behind AroFlo's API Integrations category (untested in AroFlo's public documentation, so verify what it exposes before relying on it for a cut over date)
  • Anything behind AroFlo's help centre login, including the exact steps for a bulk export

How long it takes

Business sizeRealistic time
Sole traderFFP estimate: 2 to 4 days of your time, most of it waiting on AroFlo's archive request
3 to 5 person crewFFP estimate: 2 to 3 weeks, including the archive turnaround and rebuilding your top compliance forms
10+ staff with compliance forms and maintenance workFFP estimate: 4 to 8 weeks, driven by form rebuilds and manually listing recurring work

Why this move usually starts with a request for photos, not a spreadsheet

Most AroFlo to ServiceM8 switches start the same way: a business realises its job history is really its photo, video and document library, not its customer list. AroFlo's own feature pages describe jobs as having "central storage of all documents, videos, photos and compliance forms", which is exactly the material that a CSV export cannot carry. AroFlo's help centre sits behind a customer login, so the exact steps for a bulk export are not published where a prospective ServiceM8 user can check them before switching.

That means the safe order of operations is: while you are still a paying AroFlo customer, raise a support ticket asking for a full export or archive of job files, and get a date on when it will be ready, before you touch your subscription. AroFlo lists live chat, phone and a logged in support ticket as its contact channels, so use whichever gets a documented answer fastest.

What comes out cleanly, and what needs the archive

Customers, price list items and standard reports are the strong points. AroFlo publishes more than 60 standard reports across six categories, including Job Activity, Asset Management and a "Tracking Centres" report that groups labour, materials, freight and expenses, which is a reasonable stand in for a cost history export even though AroFlo does not call it a bulk data export.

AroFlo also lists Zapier and an "API Integrations" category among its add ons, alongside its Xero, MYOB, QuickBooks and Stripe connections. None of AroFlo's public pages document what the API exposes, so treat it as something to test with your own login rather than something to plan a migration date around. If you use Xero, connecting the same organisation to ServiceM8 pulls in contacts and items automatically, which is usually faster and cleaner than a customer CSV.

Forms and compliance records take the most manual work

AroFlo's compliance and safety forms live on the job, tied to whatever template AroFlo built for you. There is no bulk export path for these in AroFlo's public documentation, and ServiceM8's own Forms tool builds a form from a Microsoft Word template with text, number, date, choice, signature and photo questions, which is not a drop in replacement. Budget time to rebuild your most used forms in ServiceM8 rather than expecting to import them, and treat any AroFlo archive you receive as the reference copy you rebuild from, not something you load in directly.

Gotchas

  • Raise the request for a full job file archive with AroFlo support before you touch your subscription. AroFlo's help centre is login only, so there is no public self-serve export to fall back on.
  • Do not assume the API Integrations category gets you a bulk export. AroFlo's own pages do not document what it exposes, so test it with a live login first.
  • If you connect Xero to ServiceM8, do not also run a customer CSV import from AroFlo. Pick one source of customers or you will spend weeks merging duplicates.
  • AroFlo's Tracking Centres report is the closest thing to a job costing export. Save it before you cancel, because it is not something ServiceM8 imports directly.
  • Rebuild your highest use compliance and safety forms in ServiceM8 Forms before go live. There is no automatic conversion from an AroFlo form template.
  • Get a written date for when AroFlo will deliver your file archive, and do not cancel until you have it.
  • Test your customer and job history CSVs in ServiceM8's free 14 day trial with a small batch before loading everything.
