Set it up in ServiceM8

  1. Turn on Asset Management in Settings > ServiceM8 Addons and create an asset type called Emergency light, with fields for fitting type, system type and rated duration.
  2. If the client already has a fitting schedule, put it in a CSV and use Settings > Assets > Bulk Import for that client and asset type, then link each asset to a QR label on the first visit.
  3. In Settings > Forms > Add Form, add the questions above in order. Choice means Multiple Choice and Multiple choice means Multiple Choice (Multi-answer). Tick Mandatory where required is true.
  4. On Time to failure, add a Skip Question If condition: skip when Stayed lit for rated duration equals Yes.
  5. Download the sample template, lay it out as a logbook row with your logo and the building address, and upload it as the form template.
  6. Create a Form Follow Up automation for this form: condition Result contains Fail, created on job completion, so every failed fitting from the visit lands in one Inbox message.
  7. Set up a recurring job for each site at six monthly intervals using a job template that carries the Emergency light badge.

The logbook the building has to keep

Emergency lighting sits outside most of the fire equipment a contractor services under AS 1851. Its routine inspection and maintenance come from its own standard, AS/NZS 2293.2. Queensland's building fire safety guideline names AS/NZS 2293.2 as the maintenance standard for emergency lighting, and Victoria lists emergency lighting as an essential safety measure in Schedule 8 of the Building Regulations 2018, so in both states the owner or occupier has to show the fittings were tested.

What they show is the logbook: one line per fitting per test, with the date, the result and what was done about any failure. Published summaries of AS/NZS 2293.2:2019 describe a full discharge test at six monthly intervals, where mains supply is cut and each fitting must stay lit on its own battery for its rated duration (90 minutes is the figure those summaries give). The standard is sold by Standards Australia, so confirm the interval and duration against your own copy before you print them on a client report.

Why this form is built per fitting

A floor of a commercial building can carry dozens of emergency luminaires and exit signs, and a failed test is always about one fitting, not the building. So the form is completed once per fitting, not once per site. Each fitting becomes a ServiceM8 asset with a QR label, the tester scans it during the discharge test, and the form records that fitting's result against its own history. ServiceM8 shows past answers for the asset on each question, which makes a battery that only just scraped through last time easy to spot.

If you take over a building with an existing fitting schedule, you do not have to create every asset by hand. ServiceM8's bulk import takes a CSV of assets for one client and one asset type at a time, and each imported asset is then linked to a QR label on site the first time it is tested.

Turning failures into quoted work

The money in emergency lighting is the rectification, not the test. ServiceM8's Form Follow Up automation can raise an Inbox message when a form answer matches a condition, such as Result equals Fail. Set it to fire on job completion rather than on each form, and ServiceM8 combines every failed fitting from that visit into one message you can convert to a quote or a repair job. Pair it with a recurring job every six months per site so the next discharge test is booked before anyone forgets it.

What this form will not do

  • ServiceM8 does not time the discharge test. The technician enters the result; a self test or computer monitored system's own report should be attached to the job as well.
  • The form cannot check the rated duration or test interval against AS/NZS 2293.2. Those figures come from published summaries of a paywalled standard, so confirm them in your copy.
  • Without Asset Management, each fitting is a separate PDF and there is no single logbook for the building.
  • State rules decide who must keep the logbook and for how long (in Queensland it sits with the occupier's maintenance records). The form records the test; it does not replace those obligations.
