ServiceM8 form

ServiceM8 fire hose reel inspection form

This ServiceM8 Form records the AS 1851 routine service of one fire hose reel: access and signage, stop valve, hose run out and condition, nozzle, hose guide, reel rotation and the flow result. The flow reading is a number, so a Skip Question If condition asks for the cause only when flow falls below the figure you set for that hose size.

Set it up in ServiceM8

  1. Create an asset type called Fire hose reel with fields for hose diameter and hose length, and label each reel.
  2. Add the questions above in Settings > Forms > Add Form. Use Number for flow and hose length so decimals are kept.
  3. On Flow (L/s), add Skip Question If: Flow test done equals Not due this visit.
  4. On Low flow cause, add Skip Question If with ANY conditions: Flow test done equals Not due this visit, Hose diameter is not equal to 19 mm, or Flow is greater than 0.33. For mixed sites add a second copy of the question for 25 mm reels (not equal to 25 mm, or greater than 0.41), after checking both figures in your standards.
  5. Link the form to the Fire hose reel asset type and choose reel ID, location, flow, result and date as the register columns.
  6. Test it on a site with both hose sizes and deliberately enter a low flow to confirm the cause question appears.

A hose reel is a water system, not an extinguisher

Fire hose reels and extinguishers usually sit side by side on a site plan and get serviced on the same visit, which tempts contractors to use one form for both. They should not. An extinguisher is a sealed cylinder checked by gauge, weight and tag. A hose reel is connected to the building's water supply, so its service is about whether water arrives at the nozzle: the stop valve opens, the hose runs out its full length without kinks or leaks, the reel turns freely, the guide lets the hose pay out in any direction, and the nozzle shuts off.

The heart of this form is the flow check. Published summaries of AS 2441 (the installation standard) give minimum flows of 0.33 L/s for a 19 mm hose and 0.41 L/s for a 25 mm hose at 220 kPa inlet pressure, and summaries of AS 1851 describe flow testing as part of the yearly service with visual and access checks every six months. Record the actual flow in litres per second rather than a tick, so a reel that is drifting down shows up before it fails.

Using the flow number in ServiceM8

ServiceM8 Number questions accept decimals, so Flow (L/s) can hold 0.36 as typed. Add a Skip Question If on the Low flow cause question: skip when Flow is greater than your minimum. For a site with only 19 mm reels that is one condition. For mixed sites, ask Hose diameter first and put two versions of the cause question behind ANY or ALL conditions, one per hose size. The technician then only sees the extra question when the reel actually needs attention.

Completed against a hose reel asset, each question shows that reel's past answers, including last year's flow, so the drift is visible on site and not just in the office.

Where the record goes

Fire hose reels are a prescribed fire safety installation on the Queensland occupier's statement and an essential safety measure in Victoria (the fire hose reel system in Schedule 8). Print the per reel results as a table in the Asset Register so the occupier or owner has one page per building to file with their other fire safety records.

What this form will not do

  • Skip conditions can only hide or show questions. ServiceM8 will not mark a low flow as a fail on its own; the technician still sets the result.
  • Flow figures come from published summaries of AS 2441:2005 and AS 1851:2012. Check them against the standards and the site's baseline data before relying on them.
  • Hose reels on a shared water supply may also need hydrant or pump records, which this form does not cover.
