Halaxy and Xero: what syncs, and whether you need both

Halaxy automatically syncs invoices and expenses to Xero once connected, and Halaxy's help guides describe the connection as continuous, so new activity keeps appearing in Xero without a manual step. Halaxy can also enable two way syncing so payments recorded in Xero sync back to Halaxy. Halaxy has its own built in financial reporting too, and many practices run on that alone.

What does not sync

  • Reconciliation, account mapping or GST judgement calls. Halaxy's own help material is explicit that the integration moves information between the two systems; it does not replace an accountant checking the mapping and the GST treatment is correct.
  • Anything if the initial account mapping was wrong. Halaxy's help guides note that incorrect initial configuration is one of the more common problems seen with the integration, and small setup errors compound the longer they run unnoticed.

Halaxy can be a full accounting answer on its own

Unlike some practice software, Halaxy is not just a booking and clinical record system with an accounting bolt on. It has its own financial reporting built in, covering profit and loss, income by category, expense tracking and a list of unpaid invoices, and Halaxy's own guidance says many practices run their entire accounting picture from those reports without ever connecting Xero. That is worth stating plainly before assuming a Xero connection is a default requirement the way it might be with a practice system that has no reporting of its own.

What changes once Xero is connected

Once the connection is made, Halaxy's help guides describe it as continuous and permanent: invoices, expenses and payments created in Halaxy from that point automatically appear in Xero without a manual export or a repeated authorisation step. That suits a practice whose bookkeeper or accountant already works in Xero and wants Halaxy's clinical and billing activity to land there without double entry.

Halaxy also offers a two way option on top of that one way push, where payment transactions recorded in Xero sync back through to the matching Halaxy invoice. A practice that takes some payments directly in Xero, rather than exclusively through Halaxy, is the case this two way setting is aimed at; without it enabled, a payment entered only in Xero would not mark the Halaxy invoice paid.

The setup step worth getting right the first time

Halaxy's help guides flag incorrect initial configuration as one of the more common problems practices run into with this integration, and note that small setup errors can compound the longer they go unnoticed, since every invoice synced afterward inherits the same mapping mistake. For a group practice running multiple practitioners or locations, that is not a single mapping to check but one per location or entity, since Halaxy supports directing invoices, payments and expenses from each to its own Xero accounts.
