Integration
splose and Xero: what syncs, and what doesn't
splose's Xero integration is two way: an invoice syncs once it is marked as sent or a payment is applied, and a payment reconciled in Xero marks the invoice paid back in splose, per splose's help guides. Draft invoices do not sync. NDIS plan managed invoices need the Fund Management field set correctly and are reconciled against the NDIS remittance PDF.

What syncs, and when
| What | Direction | When | Notes |
|---|---|---|---|
| Invoices | splose to Xero | Invoice marked as sent, or a payment applied to it | splose's help guides say an invoice is not sent to Xero while it sits in draft status, so it stays editable until you mark it sent or a payment lands against it. |
| Contacts | splose to Xero | Invoice synced | splose searches Xero for an existing matching client contact first; if none exists it creates one, carrying across name, email, phone and address. |
| Payments | Two way | Payment applied in splose, or reconciled in Xero | A payment recorded in splose syncs to Xero with its item descriptions, tax rates and account codes; a payment reconciled against the invoice in Xero syncs back and marks the invoice paid in splose using the payment method assigned. |
| Tax and discounts | splose to Xero | Invoice synced | Both percentage and dollar amount discounts, and the applicable tax rate on each line, are carried across with the invoice. |
| NDIS plan managed invoices | splose to Xero, reconciled against a remittance | Invoice for an NDIA managed client marked as sent | splose's help guides say the Fund Management field on a client's NDIS details, not their plan type, determines whether they appear on an NDIS bulk upload; when a lump sum NDIS payment arrives, it is reconciled in Xero using the NDIS remittance PDF rather than matched to one invoice at a time. |
What does not sync
- Draft invoices. splose's help guides are explicit that an invoice in draft status is not sent to Xero, specifically so it can still be edited.
- A one to one match between an NDIS lump sum payment and a single invoice. splose's help guides describe reconciling that payment in Xero against the NDIS remittance PDF, since one NDIS payment usually covers several client invoices at once.
Set it up
- Connect one Xero organisation to your splose workspace; splose's help guides describe the relationship as one Xero organisation per workspace.
- Set your default invoice account, typically a Sales or Revenue account, and your default payment account, typically a bank account, in the Xero integration settings.
- Assign specific account codes to individual services or payment methods where you want finer reporting than the defaults give you.
- On each NDIS client's profile, set the Fund Management field to NDIA managed if their plan is managed that way, since splose's NDIS bulk upload report filters on this field specifically rather than the client's plan type.
- When batch invoicing NDIS clients, use Mark as sent on the batch invoicing screen so each invoice updates to Awaiting payment and syncs to Xero, then reconcile the resulting lump sum payment in Xero against the NDIS remittance PDF.
Two way, but only once an invoice leaves draft
splose's help guides describe the Xero connection as two way: splose pushes invoices and payments across, and a payment reconciled in Xero comes back and marks the invoice paid in splose. That two way path only starts once an invoice is marked as sent or a payment is applied to it. A draft invoice stays purely inside splose, which matters for a practice that drafts invoices ahead of finalising them and does not want half finished numbers appearing in Xero.
Contacts follow the invoice rather than needing to be set up separately first: splose checks Xero for a matching client and creates a new contact if one is not already there, carrying across name, email, phone and address at the same time.
NDIS plan managed invoices need one field checked first
splose's help guides call out a specific setup detail for NDIS work: the Fund Management field on a client's NDIS details is separate from their plan type, and it is Fund Management, not plan type, that splose's NDIS bulk upload report filters on. A client whose Fund Management field is not set to NDIA managed will not appear on that report even if their plan genuinely is agency managed, which is an easy thing to get wrong when a client's NDIS details were entered quickly at intake.
Getting an NDIS plan managed invoice to Xero also depends on the same Mark as sent step as any other invoice; splose's help guides note that using Mark as sent on the batch invoicing screen updates each invoice to Awaiting payment, which is what triggers the Xero sync for a batch of NDIS invoices raised together.
Reconciling the NDIS lump sum, not the individual invoice
NDIS payments rarely arrive as one payment per invoice; a plan managed provider gets a lump sum covering several clients' invoices from the same remittance run. splose's help guides describe reconciling that lump sum in Xero against the NDIS remittance PDF, rather than trying to match Xero's single bank line back to individual splose invoices one at a time. Keeping the remittance PDF on hand at reconciliation time is what makes that lump sum figure make sense against the pile of invoices it is actually paying.
