Integration
Nookal and Xero: what syncs, and what doesn't
Nookal's Xero integration is one way: invoices and payments created in Nookal are pushed to Xero, and data entered directly in Xero is not sent back to Nookal, according to Nookal's support centre. Different Nookal locations can be mapped to different Xero organisations or accounts, and items can be routed to specific Xero sales accounts using an accounting code set on the item.

What syncs, and when
| What | Direction | When | Notes |
|---|---|---|---|
| Invoices | Nookal to Xero | Invoice created or finalised in Nookal | Nookal's support centre describes invoices and payments as synchronised to Xero once the connection is authorised; nothing created directly in Xero flows back to Nookal. |
| Payments | Nookal to Xero | Payment recorded against a patient's invoice in Nookal | Payments follow the same one way path as invoices, according to Nookal's support articles on connecting to Xero. |
| Daily takings | Nookal to Xero | End of day banking summary | Nookal's support centre has a dedicated troubleshooting article for a Daily Takings figure sent to Xero not matching Nookal's own Banking report, which points to takings being synced as a batch total alongside individual invoices and payments. |
| Sales account mapping | Set once, applied on sync | Accounting code assigned to a billable item in Nookal | Nookal's support centre describes routing specific items to specific Xero sales accounts by allocating an accounting code to the item, rather than sending every item to one default account. |
| Locations | Set once, applied on sync | Multi location practice | Nookal's support centre confirms different Nookal locations can be synced to different Xero organisations or accounts, useful for a practice running more than one clinic under separate Xero files. |
What does not sync
- Anything entered directly into Xero. Nookal's own support material describes the connection as one way, so a payment or invoice recorded in Xero first does not appear in Nookal.
- Third party payer detail beyond the invoice total. Nookal has its own third party payer feature for billing insurers, compensation schemes and corporate accounts, set up by marking a contact as a Payer and attaching them to a case, but Nookal's support centre does not describe this payer detail carrying across to Xero any differently from an ordinary patient invoice.
Set it up
- In Xero, log in with a user that has authority to grant access, ready to approve the connection request from Nookal.
- In Nookal, start the Xero connection from the integrations section and click through to authorise access to your Xero organisation.
- If you run more than one location, confirm each Nookal location is mapped to the correct Xero organisation or account before your first sync.
- Set an accounting code on any billable item you want routed to a specific Xero sales account, rather than leaving every item on the default.
- Set up third party payers as Payer contacts attached to the relevant case first, if you invoice insurers, compensation schemes or corporate accounts through Nookal.
One direction, so Nookal stays the source of truth
Nookal's support centre is clear that its Xero connection runs one way: invoices and payments recorded in Nookal are sent to Xero, and nothing entered directly in Xero makes its way back. That means Xero is where a bookkeeper reconciles and reports, but Nookal has to stay the place invoices are actually raised and payments actually recorded, the same discipline any one way accounting sync requires.
For a multi location practice, that discipline extends to which Xero file a clinic's numbers land in. Nookal's support centre confirms different locations can be synced to different Xero organisations or accounts, so a group with separate entities per site does not have to funnel everything into one Xero file.
Daily takings is a separate object worth knowing about
Beyond individual invoices and payments, Nookal's support centre has a troubleshooting article specifically for a Daily Takings figure sent to Xero not matching Nookal's own Banking report. That points to Nookal syncing an end of day takings total as its own object, alongside the invoice and payment level detail, which is a different shape of sync to Cliniko's purely invoice by invoice push. If your Xero and Nookal totals disagree, the takings figure is worth checking on its own rather than assuming it is just an unsynced invoice.
Third party payers are a Nookal feature first
Billing an insurer, a compensation scheme or a corporate account through Nookal starts with marking that organisation as a Payer against a case, which Nookal's own support material covers as a feature in its own right. What is not spelled out in Nookal's support centre is whether an invoice to a third party payer crosses to Xero with any different treatment from an ordinary patient invoice, so it is worth confirming with your bookkeeper how those invoices actually land in Xero before relying on the sync for compensation billing reconciliation.
