What changed this year

  • Every dollar fee rose by roughly 2.6 per cent against the 1 July 2025 schedule. OT01, the rooms initial consultation, moved from $130.90 to $134.35, and the major home modification item (OT40) from $294.60 to $302.30.
  • The remote area allowance (OT80) rose from $1.10 to $1.15 per kilometre, and island transport (OT81) from $368.20 to $377.80.
  • No rules changed. The consultation structure, aids assessment categories and lymphoedema, travel and report items all carry over unchanged from the 1 July 2025 schedule.
  • DVA also publishes a separate schedule, Occupational Therapists (Mental Health), with its own OT item numbers for mental health specific services. This page covers the general schedule; check the mental health version if your OT work is primarily psychosocial.

What changed on 1 July 2026

DVA published a new occupational therapists schedule of fees effective 1 July 2026, replacing the schedule that started on 1 July 2025. The change is indexation only, roughly 2.6 per cent across every item, with no change to the rules or structure. OT01 and OT07, the rooms treatment consultations, are now $134.35, up from $130.90. Home visits (OT02, OT08) are $168.00.

The travel items moved with the same increase: the remote area allowance (OT80) rose from $1.10 to $1.15 per kilometre, and the island transport maximum (OT81) from $368.20 to $377.80. DVA also republishes a separate Occupational Therapists (Mental Health) schedule alongside this general one, with its own item numbers for psychosocial services.

Home and workplace assessment items physio does not have

Occupational therapy's DVA schedule is built around assessing a client's environment as much as treating them, and the item set reflects that. Aids assessment runs from a standard consultation (OT20, $134.45) through an extended consultation for something complex like a scooter or mobility hoist (OT30, $168.00), a follow-up (OT35, $131.35), up to a special consultation for major structural home modifications, ramps, water lifts, stair climbers, at $302.30 (OT40), with its own follow-up visit at $201.35 (OT41).

Two report items sit alongside these: a standard report (OT50, $53.00) for a direct order or prior approval form, and a schematic report (OT51, $105.75) when a detailed diagram is needed for structural work. Neither covers ordinary clinical notes, which DVA expects free of charge as part of normal record keeping.

Travel is its own item set, not a loading

Unlike dietetics, which folds travel into a flat out of rooms loading, occupational therapy claims travel as its own line items. The remote area allowance (OT80, $1.15 per kilometre) applies once you travel more than 50km from your normal place of business and you are the nearest suitable provider. A separate set of items, OT81 and OT82, covers transport and waiting time to a defined list of islands including North Stradbroke, Russell and the Torres Strait Islands, claimed at invoiced cost up to a $377.80 maximum plus $26.60 per 15 minutes of waiting, capped at two hours.

Consumables, splints and small aids (OT71 to OT75) work the same way as travel: the schedule figure is a ceiling, not a set fee, and you claim the invoiced cost. Anything genuinely priced above the maximum needs prior financial authorisation before you supply it.

Loading the schedule into Cliniko

At close to 40 items, occupational therapy is one of the larger DVA imports in this family, so it is worth grouping the CSV by section, treatment, aids assessment, travel, reports and consumables, before you upload it, to catch mismatched GST settings early. Reports and freight items are taxable while almost everything else is GST-free, the opposite pattern from a discipline like dietetics where nearly everything is GST-free.

Build the maximum fee items (OT71 to OT75, OT81, OT98) with the schedule ceiling as a starting price, then edit down to the invoiced cost on each actual claim, since Cliniko does not enforce a fee cap automatically. When DVA republishes the schedule each 1 July, export your existing billable items, update only the Price column against the new PDF, and re-import with the price field only.

Claiming notes

Load these fees into your practice software

  1. Cliniko supports bulk import of billable items. Go to Settings, then Data & docs, then Data imports, choose Billable items and click Import.
  2. Before importing, add a GST tax type under Settings if you have not already. Occupational therapy mixes GST-free consultations with taxable reports (OT50, OT51), taxable freight (OT72, OT98) and OT90, so check the Taxable column row by row rather than applying one setting to the whole list.
  3. Build a CSV with a heading row and these columns: Item code, Name, Price (ex. tax), Taxable, Item type. Put the DVA code (for example OT01) in Item code, a name that starts with DVA (for example "DVA OT01 Treatment, initial consultation") so reception can find it, the fee from the table above in Price (ex. tax), and service in Item type.
  4. For OT71 to OT75, OT81 and OT98 the schedule fee is a maximum, not a set price. Either skip them and add the invoiced cost on the day, or import them with the maximum and edit the price on each invoice.
  5. Add OT80, the remote area allowance, as a per kilometre item so it can be added as a second line alongside a home visit or major modification assessment.
  6. Upload the CSV, click Next to match information, check each column matched, then click Import and finish. The items appear under Settings, Billable items.
  7. Each July, update prices in bulk rather than creating new items: export billable items as a CSV from Data exports, keep the Item ID column and the price column, change the prices, then import it again and enable only the price field. Cliniko warns there is no undo, so keep the original export.
  8. To claim DVA from inside Cliniko you need the Tyro Health integration on a Tyro Health plan that includes DVA claiming. Store the client's DVA number in their patient file so it fills the claim form automatically.
